Privacy policy

Last updated 03 Oct 2026

This policy explains what personal data BusyCounter holds, why, who helps us handle it, and what you can ask us to do with it. It follows India’s Digital Personal Data Protection Act, 2023 (the DPDP Act).

Who decides what

  • Your customers’ data. You decide what to upload and whom to remind. BusyCounter processes that data on your behalf, only to send your reminders and show you the results. Under the DPDP Act you are the data fiduciary for it, and we are your data processor.
  • Your own account. For your name, email and phone, and for how you use BusyCounter, we decide and we are the data fiduciary.

What we hold

  • Your account: your name, business name, email address and phone number, and the settings you choose.
  • Your customers: the names, phone numbers, email addresses and bills that you upload or type in.
  • Messages: the reminders sent from your account, your customers’ replies, and their delivery and read status.
  • Usage logs: technical records of sign-ins, errors and actions in the app, kept to run the service and keep it secure.

The call-back form on this website

If you ask us to call you back, we keep what you type in the form (your name, business name and phone number, roughly how many bills are unpaid, and the language you want the call in), the page you sent it from, and the line about contact you saw under the button. We use it only to call or message you about BusyCounter, and we are the data fiduciary for it. We delete it 12 months after we last spoke, unless you become a customer, when it becomes part of your account. To have it deleted sooner, ask us through the contact page or on WhatsApp.

Why we hold it

To send your reminders on time, read and sort the replies, show you who has paid, keep your account secure, fix problems, and answer your questions. We do not sell personal data, and we do not use your customers’ data for our own marketing.

You must have your customers’ permission to message them about their bills. When a customer replies STOP or asks not to be messaged, BusyCounter records it and never messages them from your account again. An opt-out is permanent; it cannot be undone by mistake.

Who helps us run the service

We share personal data only with the services needed to deliver BusyCounter, and only what each one needs:

  • Meta (WhatsApp), which carries your messages to your customers;
  • an email provider, which sends your sign-in codes, and tells our team about each call-back request (your name, business name and phone number);
  • the payment provider you connect, when a customer pays through a link;
  • our hosting provider, which runs our servers and stores the database; and
  • an error-tracking service, which receives technical details when something fails.

We may also share data when the law requires it.

Security

Every business’s data is kept apart in the database itself, not only in our code. Connections are encrypted, and the keys that connect your WhatsApp and payment accounts are stored encrypted. Only the people who run BusyCounter can reach the systems, and only to support you.

How long we keep it

We keep your data while your account is active. When an account closes, you have 30 days to ask for an export. After that, we delete the data, except where the law requires us to keep a record for longer.

Your rights

You can ask to see the personal data we hold about you, to correct it, or to erase it. Your customers can ask you, or us, the same about their data; we will help you answer them.

Grievances

If you have a complaint about how we handle personal data, write to our grievance officer through the contact page. We will reply within 30 days.

Cookies

The BusyCounter app uses cookies only to keep you signed in. Neither the app nor this website uses cookies for tracking or advertising. This website counts visits with cookie-free analytics.

Changes

If we change this policy in a way that matters, we will tell you before the change takes effect. The date at the top shows when it last changed.
